antidot ("we", "us", or "our") sets out this Privacy Policy ("Policy") in accordance with the Act on the Protection of Personal Information of Japan ("APPI") regarding the handling of personal information on this website (antidot.jp) and in the course of our design and development work.
- 01
Definition of Personal Information
In this Policy, "personal information" means personal information as defined under the APPI: information relating to a living individual that can identify a specific individual by name, company or organization name, address, telephone number, email address, or other descriptions, or that contains an individual identification code.
- 02
Information Collected & Unsolicited Submissions
When you contact us through our inquiry form or in the course of a project, we collect information such as your name, company or organization name, email address, telephone number, and inquiry details by lawful and fair means.
Unless a separate non-disclosure agreement (NDA) has been executed in writing with us in advance, any proposals, ideas, specifications, materials, or other information unilaterally submitted through our inquiry form or other channels (excluding personal information protected under the APPI) will not be treated as confidential, and we assume no obligation of confidentiality, review, return, or liability of any kind with respect to such submissions.
- 03
Purpose of Use & Retention
We use collected personal information solely within the scope of the following purposes:
- 01Responding to inquiries and consultations, providing estimates or materials, and communicating as needed
- 02Planning, designing, building, and maintaining websites, applications, and digital products
- 03Entering into and performing contracts, billing, payment, tax and accounting processing, and administrative communication
- 04Preventing fraud or abuse, responding to disputes or legal claims, protecting our rights and property, and purposes incidental to those above
We retain personal information only for as long as necessary to fulfill the purposes above or to comply with legal, tax, or dispute-resolution requirements, after which we may delete or dispose of it at our discretion without notice. We assume no obligation to store or back up submitted information.
- 04
Security, Third-Party Services & Disclaimer
We implement reasonable security measures appropriate to the scale of our operations and the nature of the information handled. However, due to the nature of internet communications, we do not warrant absolute security during transmission.
This website uses third-party services including Tally for inquiry intake, as well as cloud infrastructure, analytics tools (such as Google Analytics), and cookies. Servers operated by these providers may be located outside Japan (including the EU and the United States); by using this website or submitting an inquiry, you consent to the processing and storage of data through such providers. Analytics data is aggregated anonymously, and cookies may be disabled in your browser settings.
Except in cases of our willful misconduct or gross negligence, we shall not be liable for any system failure, data breach, data loss, or other damages arising from third-party service providers, communication networks, or the user’s own environment.
- 05
Third-Party Provision & Entrustment
We do not provide personal information to third parties without prior consent, except where permitted by the APPI or other laws, where handling is entrusted to contractors or service providers within the scope necessary to achieve the purposes of use, or where necessary to protect the rights, property, or safety of us or a third party.
- 06
Requests for Disclosure, Correction, or Deletion
When an individual requests disclosure, correction, addition, deletion, or suspension of use of their retained personal data, we will respond in accordance with the APPI after verifying the requester’s identity by our prescribed method. A reasonable administrative fee covering actual costs may be charged where permitted by law.
We may decline requests where identity cannot be verified, where we have no statutory obligation under the APPI, where compliance would significantly impede the proper conduct of our business, or where requests are repetitive, unfounded, or disproportionately burdensome.
- 07
Changes to This Policy
We may amend this Policy at any time without prior notice in response to changes in laws or our business operations. Any amended Policy takes effect upon posting on this website.
- 08
Governing Law, Jurisdiction & Language
This Policy, including its validity, interpretation, and performance, is governed exclusively by the laws of Japan (excluding conflict-of-law principles). This website is operated primarily for business activities in Japan; users accessing this website or submitting information from outside Japan do so on their own initiative and are solely responsible for compliance with local laws.
Any dispute arising out of or in connection with this Policy or our handling of personal information shall be subject to the exclusive jurisdiction of the Sapporo District Court or the Sapporo Summary Court of Japan in the first instance. The Japanese version of this Policy is the sole original and controlling text; in the event of any discrepancy or ambiguity between the Japanese and English versions, the Japanese version shall prevail in all respects.
